How Leading Mobility Innovators Are Driving Connection Through AI
Mobility has always been a people business. Even the best policies and platforms can’t remove the uncertainty employees feel when they’re uprooting their lives. That’s why the “human element” is such a vital ingredient in great move experiences.
At the same time, mobility teams are being asked to do more, faster, with leaner resources. Used well, AI takes the friction out of repetitive work and creates more time for coaching, empathy, and informed guidance.
In other words, AI should emphasize the human element in mobility—not replace it.
We explored this in our webinar, AI in Mobility: A Practical Guide for Relocation Leaders. Our guest shared how their company uses AI to streamline high-volume mobility workflows while scaling a people-first initiative: the Relocation Buddy Program.
The client’s mobility program is complex by design, supporting permanent transfers, expats, interns, new grads, commuters, and many short-term assignments—typically 2,000–3,000 new files per year. At that scale, small delays and manual workarounds have an outsized impact.
Using AI to Remove Friction from the Mobility Lifecycle
The client’s approach isn’t “AI for everything.” It’s targeted: apply AI where work is repetitive, time-sensitive, or error-prone, then give time back to the team for exceptions, coaching, and employee care.
Approvals Made Easy
The client uses an internal chatbot (Mia) inside Teams to cut the back-and-forth that slows assignments down. As soon as a position is ready, Mia messages leaders to approve, reject, or request changes with minimal effort—turning leaders into a quick review step rather than a bottleneck.
Accuracy: Managed
The client is also exploring how Mia can help with assignment date accuracy. AI-driven reminders in Teams can prompt the right people to confirm or update dates when travel is delayed (e.g., visa timing). The payoff reaches beyond mobility: accurate dates protect payroll and benefits downstream.
Let Me Answer That
A “Global Mobility Workday agent” would give leaders consistent, fast answers to common questions like cost center changes, compensation timing, and visa timelines—reducing ad hoc interruptions so the team can focus on exceptions and strategy.
Automating Cost Projections
A mobility cost-estimator agent will collect a few inputs (policy, origin/destination, family size, homeowner vs. renter) and produce a high-level overview of benefits and expected costs. The team isn’t boiling the ocean: out of 40 policies, it’s starting with the top 2–3 most-used permanent relocation policies.
Where relocation partners add value is in turning these ideas into reliable service delivery. When AI is aligned with policy and paired with the right data, it improves responsiveness and guides stakeholders to the next step—while experienced consultants focus on nuanced scenarios, risk management, and a smoother employee experience.
Protecting (and Scaling) the Human Side of Relocation
For all the focus on automation, the client’s most powerful innovation may be the one centered on belonging, because it addresses what relocating employees often say they need most: someone who’s been there.
The company launched a Relocation Buddy Program to pair new hires and internal transfers with employees who have relocated along similar “travel lanes.” The goal: reduce stress and help employees feel connected before arrival. In one early example, a family relocating from Japan shared dinner with their host buddy’s family—a small gesture that made the landing feel less lonely.
The challenge was scale. The program lead was matching volunteers manually through questionnaires and a SharePoint list. After the pilot came up in an employee resource group meeting with the CEO present, the lead was challenged to use AI to take it global.
The company partnered with a third-party platform (Pivot) to add AI-powered buddy matching, keeping participation voluntary and employee-controlled. Employees choose what they share, and relocating team members can prioritize what matters most (daycare-age kids, hobbies, family situation).
The impact has been measurable. Initial adoption was around 30%, above the 25% industry benchmark the program lead cited. After adding company branding, promoting through counselors and internal teams, and incorporating feedback, adoption rose to a whopping 60%+—and leaders began asking how to involve their teams.
What Mobility Leaders Can Learn from This Approach
If you’re looking for a practical way to bring AI into mobility without losing the human touch, this playbook offers a few repeatable moves:
- Pick the friction points first: Approvals, date tracking, repetitive questions, and estimates are high-volume “time leaks.”
- Keep AI in the flow of work: Teams-based nudges and actionable prompts beat “log into another system.”
- Start small, then expand: Automate the top 2–3 policies before tackling 40.
- Design for downstream impact: Better mobility data improves payroll, benefits, and finance accuracy—not just mobility metrics.
- Use AI to scale connection: The Buddy Program shows how technology can expand community without making the experience feel automated.
This story is proof that when it comes to innovation in mobility and tech, you shouldn’t have to choose between efficiency and empathy— AI can create room for both! Leaders like our featured client are showing that when you automate the repetitive work, you can reinvest in what relocating employees remember most in their move experience: clarity, confidence, and connection.
