Lessons from the Studio: Is My Policy Too Long?
In today’s fast-moving digital world, we’re all about quick hits and easy access— e-books, online news, and bite-sized everything. Sure, some may still prefer the “old-school” way of consuming content and information (nothing wrong with that!), but for most of us juggling packed calendars and constant notifications, simpler really is better.
But what about mobility policies? If you’ve ever tried to read through a 55-page policy document, you know it can feel daunting, overwhelming, and, let’s be honest – why is this longer than my mortgage agreement?
Mobility professionals pour an enormous amount of time into crafting these documents, making sure every detail is technically correct and crystal clear. But here’s the million-dollar question:
How do you keep your policy short and reader-friendly without leaving out critical information?
As a Practice Leader on our Advisory Services Team, I’ve seen every version imaginable — policies that fit neatly on one page and others that rival Tolkien novels. The real challenge is distilling dense mobility-speak (hello, tax equalization, COLA, or domestic home sale) into something employees will actually read and understand. And maintaining those 60-page policy “epics”? That alone could be a full-time job.
Now, while keeping things short n sweet may work for Sabrina Carpenter, trimming too much can backfire. You risk losing the nuance, clarity, and scope your policy needs to function.
The Secret: Focus on What Matters Most
Here’s what I’ve learned: The best policies don’t get bogged down in endless details. Instead, they highlight the big picture—your company’s philosophy and the general rules of the road. Anything variable, like benefit amounts or process steps, belongs somewhere more flexible, like in an assignment letter.
Because here’s the truth: processes and procedures change constantly – especially with new tech, new tools, and regional differences at play. So, keep your policy flexible and evergreen by focusing on principles, not nitty-gritty steps!
So, what’s the smartest way to shorten your policy while keeping it clear, helpful, and actually usable?
• Cut the process clutter: Ask yourself: Does every step need to be here? Most process-heavy info can be trimmed or moved to a separate resource.
• Add a clickable table of contents: Let readers jump right to what they need instead of scrolling endlessly.
• Start with a summary: A quick, high-level snapshot at the top makes a huge difference — your mobile employees will thank you.
• Break it up: Appendices, modular sections, and breakout pages let people skip what doesn’t apply to them.
• Use visuals: Tables, icons, and infographics make complex info instantly easier to digest.
• Go digital: Online, brochure-style policy formats with clickable links are becoming the norm — high-level, easy to use, easy to update.
